Accounts: Payment - History

This screen shows billing and payment history for leases only. There are many screens and functions available in the notebook. Each page of this notebook may be printed by clicking on that page and then clicking the print, queue, or e-mail buttons on the accounts button bar.

This screen does not send any interface corrections to your ledger, meaning that if you purge a billing or a payment, you are responsible for correcting your ledger.

Any changes made to the data on these pages will automatically cause the other pages to be reloaded with your changes.

History
This shows a combined billing and payment history. It is in order by the billing date billed and the payment posted date fields and always assumes that payments are posted first on those dates for which the date billed and payment posted dates are equal.

The Amount Owed column represents the outstanding A/R balance for that row in the grid. The current amount owed for the deal would be on the last row of the grid.

There is a button bar at the top of this page that has the following functions:
  • Post Payment: Will take you to the Post Payment screen.
  • Print Receipt: For the payment selected in the grid, this will either reprint the receipt that was originally issued when the payment was posted or it will create a receipt for that payment.
  • Purge History: This is a dangerous button and is only used in emergency cases where you need to manually rebuild the entire payment history for a lease.
  • Audit Detail Report: This will create the "Audit Detail for Payment History Report." It will show all of the postings that have been made against this deal.

    Billings
    This shows only the billing information for the lease.

    There is a button bar at the top of this page that has the following functions:
  • Purge Last Billing: Will delete the last billed entry on the screen. 
  • Manually Post Billing: Allows you to manually create a billing for the next line in the amortization schedule.
  • View Invoice: Will view the corresponding invoice PDF as shown in the Invoice File Name column.
  • Statement for Term #1: Will create a printed statement for the first term in the lease.
  • Create Journal: Will create a journal or reverse journal for the billing line selected.
  • Pay by Account: Will allow you to make a payment for all active deals in this account.
  • Pay by Group I.D.: Will allow you to make a payment for all active deals assigned to the Group I.D. that to which this account is assigned. (Group I.D.s are set up on the Account - Overall screen.)

    Payments
    This shows only the payments and adjustments for the lease.

    There is a button bar at the top of this page that has the following functions:
  • Post Payment: Will take you to the Post Payment screen.
  • Purge Last Payment: Will delete the last payment entry on the screen.
  • Edit Notes: Will edit the payment notes for the payment selected in the grid.
  • Edit Made Date: Will allow you to change the payment made date for the payment selected in the grid.
  • Add/Remove from Batch: Will add the payment to a payment batch if it is not already in one. If it is in one, it will remove it from that batch.
  • Create Journal: Will create a journal or reverse journal for the payment line selected.

    Analysis
    This is a comprehensive look at "what payment(s) were applied to what billing." ALMSys always applies payments to the oldest outstanding billing amount owed. This display takes the guesswork out of "what payment was applied where." Printing this page will better align the headings on the right.
